8 Questions Every Company Should Ask a Corporate Gift Supplier Before Signing

Choosing the wrong corporate gift suppliers costs more than money. It costs time, brand credibility, and employee goodwill — often at exactly the moments when goodwill matters most. The good news is that most supplier failures are predictable, and the right questions, asked before signing, reveal most of them.

Question 1: Can You Provide Physical Samples?

Reputable corporate gift suppliers maintain a sample process for new clients. Vendors who cannot provide physical samples — or charge prohibitively for the privilege — signal limited confidence in the gap between what they show and what they produce. Always request a sample before committing to a full production run.

Questions 2 and 3: MOQs and Colour Matching

MOQ policies vary dramatically between corporate gift suppliers, and the figure quoted on a website is often not the operative number for customised items. Get written confirmation of MOQs for the specific product category you need, and ask whether rush orders below the standard MOQ are possible. Also ask specifically whether they use Pantone matching, and request a written quality specification defining acceptable colour deviation tolerances.

Questions 4 and 5: Defect Policy and Data Security

Get the replacement guarantee in writing for defective or damaged goods, including the threshold that triggers it and the resolution timeline. For data security, ask specifically how home address data is stored, who has access, whether it is shared with third-party logistics providers, and how it is destroyed after the campaign.

Questions 6 and 7: Account Management and Delivery Coverage

Ask which specific account manager will own your relationship, and how to reach them for urgent issues. Then ask about delivery timelines specifically for tier-2 and tier-3 Indian cities. Many corporate gift suppliers have excellent metro coverage but thin networks beyond. If your workforce includes employees in smaller cities — and most Indian companies’ do — geographic coverage is a qualification criterion.

Question 8: Industry References

Well-established corporate gift suppliers should provide references from clients of comparable size in comparable industries. Industry-specific references matter because gifting norms, product preferences, and delivery complexity vary between IT, manufacturing, BFSI, and pharma sectors. A supplier experienced in one sector may not have the operational depth required for another.
